Your personal data – what is it?

Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation 2016/679 (the “GDPR”).

Kinver Constitutional Club is the data controller (contact details above). This means it decides how your personal data is processed and for what purposes.

 

The type of personal data we collect

We currently collect and process the following information:

  • Identity Data includes first name, last name, title, gender, membership number.
  • Contact Data includes billing address, email address and telephone numbers.
  • Financial Data includes bank account and payment card details.
  • Transaction Data includes details about payments to and from you.

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity. For example, we may aggregate your Identity Data to calculate the percentage of members who are over 65. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.

 

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

 

How is your personal data collected?

We collect data from and about you through direct interactions. You may give us your identity, contact and financial data by filling in forms or by corresponding with us by post, phone, email or otherwise. This includes personal data you provide when you:

  • Become a member of Kinver Constitutional Club.
  • Renew your membership with Kinver Constitutional Club.
  • Give us feedback.
  • You contact us for any reason. 

 

How do we process your personal data?

Kinver Constitutional Club complies with its obligations under the GDPR by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

 

We use your personal data for the following purposes:

  • To administer membership records; 
  • To maintain our own accounts and records;
  • To inform individuals of news, events, activities or services running at Kinver Constitutional Club, including Annual General Meetings. 




What is the legal basis for processing your personal data?

Processing is necessary for the legitimate interests of the data controller or a third party, except where such interests are overridden by the interests, rights or freedoms of the data subject. 

 

The processing relates only to members or former members (or those who have regular contact with it in connection with those purposes); and there is no disclosure to a third party without consent.

 

Sharing your personal data

Your personal data will be treated as strictly confidential, and we will only share your data with third parties outside of Kinver Constitutional Club with your consent. 

 

How we store your personal data

Your information is securely stored at 119 High Street, Kinver, Stourbridge, South Staffordshire DY7 6HL. Data is securely filed and, where held on computer is password protected. Data is only accessible to the Club Secretary, Treasurer, Steward and Committee Members. 

 

We keep your personal data for no longer than reasonably necessary, usually 12 months from your membership ceasing, lapsing or being cancelled. We only retain your data for the following purposes and use the following criteria to determine how long to retain your personal data:

  • To administer membership records; 
  • To maintain our own accounts and records;
  • To inform individuals of news, events, activities or services running at Kinver Constitutional Club, including Annual General Meetings. 

 

Your rights and your personal data 

Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data: 

The right to request a copy of your personal data which the Kinver Constitutional Club holds about you; 

  The right to request that Kinver Constitutional Club corrects any personal data if it is found to be inaccurate or out of date; 

The right to request your personal data is erased where it is no longer necessary for Kinver Constitutional Club to retain such data;

  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
  • The right to object to the processing of personal data; 
  • The right to lodge a complaint with the Information Commissioners Office.

 

Further processing

If we wish to use your personal data for a new purpose, not covered by this Data Protection Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.
